How we collect, use and protect your personal information

1. Who we are
Dog Store & Spa Ltd (trading as Dog Spa) (“we”, “us”, “our”) is committed to protecting your privacy. This notice explains what personal information we collect, how we use it, who we share it with, and your rights. We are the “data controller” responsible for your information.

2. The information we collect
- Your details – name, address, phone number, email, and payment/card details.
- Your dog’s details – name, breed, age, health, temperament and grooming history/notes.
- Photographs or videos of your dog (and occasionally you).
- Records of your bookings, our communications with you, and any incidents.
3. How we use your information, and our lawful basis
Data protection law requires us to have a “lawful basis” for using your information. Ours are:

4. Photos and social media
We only use photos or videos of your dog for marketing, social media or educational purposes where you have agreed. You can change your mind and withdraw your consent at any time – just tell us, and we’ll stop using new images and remove existing ones where we reasonably can.
5. Who we share it with
We do not sell your information. We share it only with:
- Our booking and records software provider (MoeGo), which securely stores your information on our behalf.
- Our payment provider, to process payments.
- A vet, if your dog needs emergency treatment.
- Others where we are required to by law, or where there is a genuine welfare obligation.
6. Where your information is held
We keep your information secure, and staff only access what they need to do their job.
Where information is stored electronically (for example in MoeGo), it is protected by that provider’s security measures.
Some of the providers we use – including our booking and records software (MoeGo) – are based outside the UK, so your information may be stored or processed overseas. Where that happens, we take reasonable steps to make sure it stays protected to UK standards through the safeguards those providers have in place.
7. How long we keep it
We keep your and your dog’s full records while you’re a customer and for around 3 years after your last visit. We may keep basic contact details longer to let you know about our services, for as long as you’re happy to hear from us – you can unsubscribe at any time.
We keep financial records for 6 years, as required for tax. We securely delete stored card details once they’re no longer needed. We review our records periodically and delete or anonymise anything we no longer need.
8. Your rights
Under data protection law you have the right to:
- Ask for a copy of the information we hold about you.
- Ask us to correct anything that’s wrong.
- Ask us to delete your information, where we don’t need to keep it.
- Object to, or ask us to restrict, how we use it.
- Withdraw your consent (for example to marketing) at any time.
- Ask us to transfer your information to another provider.

9. Complaints
If you’re unhappy with how we’ve handled your information, please tell us first so we can put it right. You also have the right to complain to the Information Commissioner’s Office (ICO), the UK’s data protection regulator, at ico.org.uk or on 0303 123 1113.
10. Changes to this notice
We may update this notice from time to time. The latest version is always available on our website and at reception.
